Fleet Coordinator

Location: Rockwall, Texas (In-Office)
Schedule: Monday - Friday
Compensation: $60,000 - $65,000 annually


Job Type: Temp-to-Hire (conversion possible anytime within first 6 months)

We are partnering with a growing and innovative organization in Rockwall seeking a highly organized Fleet Coordinator to manage daily operations for a large company vehicle fleet consisting primarily of electric vehicles, along with several additional gas-powered company vehicles.

This is a hands-on operational role ideal for someone who thrives on organization, communication, and keeping moving parts running smoothly. The Fleet Coordinator will serve as the central point of contact for drivers, vendors, maintenance providers, and internal leadership to ensure the fleet remains safe, compliant, and fully operational.


Key Responsibilities of the Fleet Coordinator

  • Coordinate daily operations of approximately 85–90 company vehicles
  • Schedule and track preventive maintenance, inspections, repairs, and service appointments
  • Monitor vehicle utilization, condition, and readiness
  • Maintain accurate fleet records, registrations, and documentation
  • Coordinate vehicle assignments, check-ins, and check-outs with employees
  • Track and manage charging logistics and usage for electric vehicles
  • Work with vendors, service centers, and insurance providers to resolve issues
  • Manage accident reporting, repair coordination, and claim documentation
  • Monitor driver compliance with company policies and safety procedures
  • Track licensing, registration renewals, and insurance documentation
  • Maintain spreadsheets, logs, and internal tracking systems
  • Support leadership with reporting, operational updates, and recommendations

Qualifications

  • 2+ years of experience in fleet coordination, operations, logistics, facilities coordination, or administrative operations support
  • Strong organizational and time-management skills
  • Ability to manage multiple priorities and deadlines
  • Strong communication skills and customer-service mindset
  • Proficiency with Microsoft Excel and general office software
  • Experience coordinating vendors or service providers
  • Ability to problem-solve and make decisions independently
  • Detail-oriented and process-driven

Preferred (but not required):

  • Experience managing vehicle fleets
  • Exposure to EV fleets or charging logistics
  • Experience working with maintenance schedules, registrations, or compliance tracking
